Residence Life Administrative Assistant
Belmont Abbey College is seeking an Administrative Assistant (RLAA) for the Residence Life Office. The RLAA, who reports to the Dean of Residential Life, will consistently demonstrate skills, attitudes, and stable disposition of character to support the richness of our Catholic and Benedictine identity while fostering the development of mind, body, and spirit in our students, our staff, and the greater community.
The RLAA functions as administrative support for the Dean and other professional staff supervised by her. They are responsible for supervising office student workers and general daily management of the office. This includes maintenance of student files and information, both paper and within PowerCampus; office equipment; scheduling and assignments of student workers; and supporting strict levels of confidentiality. They serve as the front line customer service contact for prospective students, current students, parents, and vendors. Coordinates communication needs and disseminate information within office and with other departments. Assists the Dean in management of the departmental budgets and judicial files. Will be an active member of the Residence Life staff team which is made up of the Dean, Assistant Director for Housing, Area Coordinator for Community Development, and twenty (20) resident assistants (paraprofessional student staff).
The RLAA will demonstrate ability to create a positive environment offering high quality customer service and has a good knowledge of Microsoft Office applications. Strong oral and written communication and organizational skills is critical while possessing the ability to be detail orientated. Good writing, analytical and problem-solving skills is important along with the ability to follow oral and written instructions. The ability to multi-task on different projects is a must while working in a very busy office environment. They must be a self-starter and willing to take initiative when necessary. The RLAA will work efficiently and pleasantly as a member of the Residence Life staff team assisting in creating a welcoming and hospitable environment. It is critical that they handle delicate matters with discretion meeting FERPA guidelines and established confidentiality standards. The desire to work with college students is necessary and an understanding of their needs and development is a plus. As a member of the Residence Life staff team, the RLAA must be willing to actively participate in continuous enhancement and improvements of office management, resident assistant supervision, RL programming model, and student and parent relations.
A successful candidate must Minimum of 2 years prior experience in Education or related industry. Proficiency with Microsoft Word, Excel, Access, Publisher, PowerPoint, and Outlook are required. The individual must be or become proficient in the use of PowerCampus as the primary data base for all students housing information. The ability to learn and utilize E-Maintenance and FSI Office Supply ordering system and procedures is required. The work environment is an office setting which requires the ability to move furniture, to walk around campus and residence halls and to be a true representative of Belmont Abbey College and the Office of Residence Life.
